  • ADVANCEMENT ASSISTANT

    Poly Prep seeks applicants for the position of Advancement Assistant. The purpose of this position is to assist the Advancement Office, which is the main fundraising arm of Poly Prep, with critical projects.

    START: March 2023

    DATES: March 2023 to June 2023

    PRIMARY RESPONSIBILITIES AND ACCOUNTABILITIES

    • Executes outreach and solicitation of lapsed donors in alumni, parents, parents of alumni constituency groups via phone and email
    • Manipulates excels and exports for mailings and events, and for the tracking of fundraising results as needed
    • Inputs data into the database system to help maintain accurate records
    • Preserve confidential matters and information for Poly Prep
    • Assist in Advancement mailings and other tasks as assigned
    • Executes outreach and correspondence with donors via email or phone
    • Helps with prep work and setting up events including but not limited to printing and organizing event name tags and various other event materials
    • Aids in packaging items that will be handed out or mailed out to donors; this includes packing up gifts to be given to donors at meetings, mailed to donors as a thank you, or a gift to be handed out at an event.

    Education:  Bachelor’s degree

    Experience:  1-year experience in an office setting

  • ADVANCEMENT DIRECTOR OF ANNUAL GIVING

    Poly Prep seeks applicants for the position of Director of Annual Giving effective July 1,2023. The Director is responsible for leading and growing Poly Prep’s Annual Giving program to achieve specific fundraising and engagement goals in parent, alumni, faculty and staff, and all donor constituencies. The Director is responsible for raising unrestricted dollars to meet the budgetary needs of the school.

    PRIMARY RESPONSIBILITIES AND ACCOUNTABILITIES

    • Work with the Chief Advancement Officer, Director of Advancement and Head of School to determine Annual Giving goals
    • Build strategic plans for achieving these goals.
    • Orchestrate comprehensive research and analysis with Advancement Services to set goals of annual giving levels and to identify major donor prospects.
    • Develop a calendar of communications and segmented solicitations strategies involving email, mail, phone contact, personal visits to sustain and build annual support.
    • Oversee reunion-based fundraising program in close collaboration with the Director of Alumni Relations. Determine strategy, recruit and train volunteers and monitor class progress.
    • Plan cultivation and stewardship events for new families, returning families, and volunteers
    • In partnership with the Director of Advancement Services, report ongoing annual giving progress and analysis to the Board of Trustees and community.
    • In partnership with the Director of Advancement Services, foster the process of gift acknowledgement acknowledging the donors quickly and effectively with gift receipts, phone contact and personal notes.
    • Liaise with communications consultancy to plan, design, and implement Annual Giving solicitations, including digital marketing (email, website, social media)

    QUALIFICATIONS

    Education:  Bachelor’s degree required.

    Experience:  5+ years of fundraising experience, preferably in a school setting

    Specific Skills: Raiser’s Edge, Microsoft and Google suites.

    Certifications:  N/A

    Requirement: Ability to work some evenings and weekends as required for School and Advancement events.

  • ADVANCEMENT INTERN

    Poly Prep seeks applicants for the position of Advancement Intern. The purpose of this position is to assist the Advancement Office with projects. This work positively impacts alumni and community outreach along with funding for school initiatives, and will directly be involved in data entry, research, event organization, and donor stewardship. While the position focuses on administrative tasks and goals, the position is developmental and a great role for gaining office experience and specific skills related to fundraising and education administration.

    PRIMARY RESPONSIBILITIES AND ACCOUNTABILITIES

    • Research and update Alumni contact information both in our fundraising database and within designated spreadsheets
    • Call and email alumni and other constituents to foster stewardship and relationships with our community
    • Transcribe annual academic/athletic awards and club rosters
    • Create and organize event name tags and various event materials
    • Assist in packing/labeling Poly appreciation swag to be sent to campaign prospects and other community members
    • Create and update student records to reflect annual club participation, athletics, and other extracurricular activities

  • ENGINEER

    Poly Prep seeks applicants for the position of Engineer.  The Engineer works closely with the Associate Building Engineer and Building Engineer. Assists in maintaining the physical plant and is responsible for mechanical, electrical, plumbing (MEP), painting, carpentry and grounds related tasks.

    PRIMARY RESPONSIBILITIES AND ACCOUNTABILITIES

    • Collaborate with the engineering staff on interior and exterior projects.
    • Perform light mechanical, electrical, plumbing, carpentry and painting projects.
    • Assemble furniture and fixtures; install hardware.
    • Perform light lock repair.
    • Set up tools and materials for various construction related tasks and projects.
    • Ensure that shop and storage areas have been adequately organized and maintained.
    • Assist in event setups such as audio transportation and connections when necessary.
    • Record and report repair and maintenance issues to the Building Engineer.

    QUALIFICATIONS

    Education:  High School Diploma or Trade School Certificate.

    Experience:  Two years of building maintenance based experience.  Light mechanical, electrical, plumbing, carpentry & painting experience required.  Experience with operating power tools, construction equipment & hand tools required.

    Specific Skills: Must be able to work independently. Must be able to understand and operate a Building Maintenance System. Should have moderate knowledge of painting, carpentry, light electrical, light plumbing, and boilers/HVAC. Intermediate computer skills necessary.

    • Able to lift, carry, and push at least 75 lbs.
    • Able to stand and work in a crouched position for extended periods of time.

    PRIMARY RESPONSIBILITIES AND ACCOUNTABILITIES

    • Serve as the educational leader of the division consistent with the School’s mission priorities and values
    • Engage in ongoing curriculum review and development in order to ensure state-of-the-art pedagogy and content in all disciplines
    • Articulate the Middle School’s programs, innovations, expectations, behavioral guidelines, and other information effectively to all of the School’s constituencies (students, faculty, staff, and families)
    • Observe, supervise, and help evaluate the faculty consistent with a growth model framework
    • Communicate professional expectations clearly to teachers and staff

  • LOWER SCHOOL KINDERGARTEN HEAD TEACHER

  • MIDDLE SCHOOL ASSISTANT (Part-Time)

    Poly Prep seeks applicants for the position of Middle School Assistant. The Middle School Assistant plays a vital role in Poly Prep’s Middle School division by facilitating positive student behavior and engagement while supervising and supporting groups of students during their learning and daily activities.

    Dates/Hours of Position: 

    • September 6, 2022 through June 15, 2023
    • 11:00 AM – 2:00 PM, Monday through Friday (when classes are in session)

    Hourly Wage: $15 to $22 per hour

    PRIMARY RESPONSIBILITIES AND ACCOUNTABILITIES

    • Supervise assigned group(s) of students throughout the day including during lunch, study hall, recess, and silent reading periods
    • Support students with technology needs
    • Attend to students’ social and emotional needs as they arise
    • Communicate professionally with all members of the community
    • Oversee the clean-up of lunch room space
    • Monitor recess for behavior and safety
    • Monitor student restroom requests to avoid crowding in school facilities
    • Observe students for health concerns and referring students in need to the health team
    • Collaborate with other Middle School Assistants as needed

    QUALIFICATIONS

    Education:  High school diploma and at least 2 years of college enrollment preferred.

    Experience:  Demonstrated interest and experience in working with children.

    Poly Prep seeks applicants for the position of Middle School Mathematics Teacher Leave Replacement from August through December, 2023. We seek an enthusiastic and committed teacher with knowledge of and practice in constructivist teaching methods, varied assessment methods and tools, and student-centered, interdisciplinary pedagogy. Qualified applicants will bring experience teaching at the middle school level, differentiating instruction for a wide range of learners, and incorporating technology in the classroom.   • MIDDLE SCHOOL SCIENCE TEACHER

    Poly Prep seeks applicants for the position of Middle School Science Teacher. The ideal candidate will be excited to help build a vibrant community of young scientists.     Additional Responsibilities: 

    • Assume role as an advisor for a group of students (approximately 16-18 students)
    • Co-advise a club or activity and participate in supervision duties

  • OPERATIONS MANAGER

    Poly Prep seeks applicants for the position of Operations Manager.  The Operations Manager works closely with the Head of Operations, filters day-to-day operation issues, supervises grounds crew and provides logistical support.  Individuals with experience in the operations and maintenance industries are encouraged to apply.  The ideal candidate will have experience supervising small to medium sized teams and horticultural experience.

    START: Immediate

    PRIMARY RESPONSIBILITIES AND ACCOUNTABILITIES

    • Filters day-to-day operation issues, within various departments (Academics, Admissions, Advancement, Communications, Athletics).
    • Supervise the Grounds Crew department. Proactively manage their detail and development and ensure they have the information, tools, and support needed to perform their jobs effectively and successfully.
      • Provide and maintain grounds staff detail sheet and modify in alignment with the needs of the business.
      • Track grounds employee daily hours to include time worked and time off via the Operations Timesheet.
      • Performs grounds work area inspections daily.
      • Oversees distribution of supply and equipment inventory to grounds staff.
      • Identify areas of staff development and provide timely feedback and training.
    • Provide logistical support to the Head of Operations regarding vendor or project management with current and future projects.
    • Perform administrative tasks such as filing and processing of operations related invoices.
    • Manages the landscaping vendor relationship.
      • Strategizes grounds planning
      • Meets with vendor to discuss and plan seasonal projects
    • Manage inventory, facilitate purchases of supplies and equipment as needed, and verifies delivery against documentation (packing slips and receipts).
    • Other duties as assigned by the Head of Operations.

    QUALIFICATIONS

    Education:  Bachelor’s Degree Required.

    Experience:  Two years of operations based experience. Three years supervisory experience managing a team.  Horticultural experience required.

    Specific Skills: Intermediate experience with Microsoft Word, Google Platform and ADP payroll.

    Certifications/Licenses:  No certifications for this role are required.

    Special Requirements: Travel between the Dyker Heights and Park Slope campuses as necessary. Able to work a flexible schedule that includes nights and weekends as necessary.

  • SECURITY OFFICER

    Poly Prep seeks applicants for the position of Security Officer.  The primary role of Security Officer is to serve a diverse school community while providing a safe and secure environment for students and all who work or visit our campuses.  The position hours are Monday to Friday – 2PM to 10PM.  Hours may be subject to change due to school functions and needs of the department/institution.

    START: Immediate

    PRIMARY RESPONSIBILITIES AND ACCOUNTABILITIES

    *Certain responsibilities may depend on the shift and campus the role is assigned to.

    • Maintain a security log and write comprehensive, detailed reports on what was observed while on duty.
    • Monitor video surveillance equipment, school fire and burglar alarm systems to ensure campus and facilities are safe and secure.
    • Control facility access for employees, visitors, vendors and contractors (have visitors sign in/out via Raptor System), issue visitors badges and occasionally escort visitors throughout the building.
    • Respond to emergencies to provide necessary assistance to students and employees.
    • Responsible for completing incident reports as needed.
    • Conduct rounds in/out of the building during the shift to ensure that all doors/ gates are locked.
    • Set and unset alarms to campus buildings.
    • Accompany students/classes traveling to outdoor activities and nearby parks. (Lower School)
    • Maintain knowledge of Poly Prep’s policies, procedures and protocols.
    • Maintain knowledge of the building public address system, fire evacuation routes, fire panel and burglar alarm systems.
    • Maintain knowledge of Crisis Manual and Security handbook.
    • Other duties as assigned by the Head of Security, Transportation & Emergency Preparedness.

    QUALIFICATIONS

    Education:  High School diploma or equivalent.

    Experience: Must have work experience in a school setting. 

    Specific Skills:  Technology, beginner to intermediate computer skills required. Excellent knowledge of public safety and security procedures/protocols. Ability to follow written and oral instructions.  Knowledge of basic methods of providing site security and safety including the following:

    • Knowledge of conducting fire and safety drills (lockdown, lockout, evacuation drills) as per Crisis Manual and department manual guidelines and protocols.
    • Strong oral communication skills, human relations and interpersonal skills
    • Ability to operate detecting systems
    • Knowledge of CCTV systems
    • Ability to stand for long periods of time and work in adverse weather conditions.
    • Integrity and professionalism.

    REQUIREMENTS

  • SERGEANT

    Poly Prep seeks applicants for the position of Sergeant.  The Sergeant will serve a diverse school community while providing a safe and secure environment for students and all who work or visit our campuses, in addition to supervising shift security officers.  The position hours are Monday to Friday – 2PM to 10PM.  Hours may be subject to change due to school functions and needs of the department/institution.

    START: Immediate

    PRIMARY RESPONSIBILITIES AND ACCOUNTABILITIES

    *Certain responsibilities may depend on the shift and particular campus that the role is assigned to.

    • Supervise the security officer’s on 2pm-10pm and 4pm -12am shifts. Proactively manage their detail to ensure they have the information, tools and support needed to perform their jobs effectively and successfully.
      • Track the security officer daily hours to include time worked and time off.
      • Identify areas of staff development and provide timely feedback.
    • Maintain a security log and write comprehensive, detailed reports on what was observed while on duty.
    • Monitor video surveillance equipment, school fire and burglar alarm systems to ensure campus and facilities are safe and secure.
    • Control facility access for employees, visitors, vendors and contractors (have visitors sign in/out via Raptor System), issue visitors badges and occasionally escort visitors throughout the building.
    • Respond to emergencies to provide necessary assistance to students and employees.
    • Responsible for completing incident reports as needed.
    • Conduct rounds in/out of the building during the shift to ensure that all doors/ gates are locked.
    • Set and unset alarms to campus buildings.
    • Accompany students/classes traveling to outdoor activities and nearby parks. (Lower School)
    • Maintain knowledge of Poly Prep’s policies, procedures and protocols.
    • Maintain knowledge of the building public address system, fire evacuation routes, fire panel and burglar alarm systems.
    • Maintain knowledge of Crisis Manual and Security handbook.
    • Other duties as assigned by the Head of Security, Transportation & Emergency Preparedness.

    (The Lower School security officer is not directly responsible for assisting with curbside drop-off and dismissal; however, proper judgment should be used if needed.)

    QUALIFICATIONS

    Education:  High School diploma or equivalent.

    Experience:  Must have law enforcement experience.  2-3 year’s experience leading/managing a team.  Current/previous experience working in school environment preferred.

    Specific Skills:  Technology, beginner to intermediate computer skills required. Excellent knowledge of public safety and security procedures/protocols. Ability to follow written and oral instructions.  Knowledge of basic methods of providing site security and safety including the following:

    • Knowledge of conducting fire and safety drills (lockdown, lockout, evacuation drills) as per Crisis Manual and department manual guidelines and protocols.
    • Strong oral communication skills, human relations and interpersonal skills
    • Ability to operate detecting systems
    • Knowledge of CCTV systems

    Certifications & Preferred licenses:

    • NY State Department of Security Guard License required
    • F07 – Fire and emergency drill conductor. (Preferred)
    • F03 – Indoor place of assembly safety personnel. (Preferred)
    • F01 – Fire Guard for Impairment (Citywide) (Preferred)

    Hourly Wage:  $30.00 to $35.00 per hour

    • Certifications/Licenses:  If a candidate does not have these at time of hire, they will be required and an outlined timeframe will be laid out with the employee upon their first week.
    • Ability to stand for long periods of time and work in adverse weather conditions.

    • Bachelor’s degree in history or related disciplines is required
    • Master’s degree or PhD preferred
